Application Guidelines for Event Coordinators

All special events with food service to the public must be pre-approved by Niagara Region Public Health. This includes:

  • Community fairs
  • Exhibitions
  • Street festivals
  • Charity barbecues
  • Walk-a-thons
  • Cook-offs
  • Food expos

Notifying Public Health is required by law, helps minimize the the possibility of foodborne illness and is an important step towards a safe and enjoyable experience for everyone.

All event application forms must be received within the required time frames to allow for a public health inspector to review the forms, provide direction and answer questions from the coordinators or vendors.

Coordinator Responsibilities

It is the responsibility of the coordinator to:

  • Complete the application form and submit online with a site plan
  • Provide each food vendor with the Food Vendors Requirements and Application Form. Vendor applications must be submitted at least two weeks prior to the event.
  • Notify the local municipal clerk's office of the event and to ensure compliance with all applicable departments or agencies (Fire, Police, By-law and Alcohol)

A public health inspector may be onsite during the event to conduct an inspection of the event set-up and food vendors' booths.

Event Coordinator Application

This application must be submitted at least one month prior to the event to allow for a public health inspector to review the forms, provide direction and answer questions from the coordinators or vendors.
